Before,<strong> contract documents had always been passed back and forth<\/strong> in hard-copy format between the central office and the branches. Since the number of contracts ranged from 10,000 to 20,000 every year, this process took untold man hours to make sure all documents were filled out and signed, <strong>not to mention the expense<\/strong> of sending the documents through certified mail.<\/p>\n<p><em>\u00abFor us, this process meant enormous manual processing times, so it was terribly inefficient in terms of time-to-market, to the point that we were not always able to execute the contracts on time\u00bb<\/em> <a href=\"https:\/\/www.youtube.com\/watch?v=Fa6mQ-k4gZY\">notes Alessandro Bertoli<\/a>, ICT Director at Sorgenia.<\/p>\n<p>From Document Generation to Document Retention<br \/>The solution engineered with Intesa to digitalize these document transfers with area branches allowed Sorgenia staff to exchange documents directly in a digital format. <strong>The signatory&#8217;s identity was verified by sending an OTP<\/strong> (One Time Password), <strong>which enabled Advanced E-Signing capabilities<\/strong> through a web portal customized for Sorgenia.<\/p>\n<p><em>\u00abWe switched from a predominantly manual procedure in dire need of acceleration, to digital tools that automated the procedures, making them more controlled, more secure, and with a guaranteed time to market,\u00bb<\/em> says Alessandro Bertoli.<\/p>\n<p>As required under the rules established in the Code of Digital Administration, contracts became read-only once signed, thus <strong>ensuring the integrity of their content<\/strong>. The documents were then filed and retained in accordance with the law.<\/p>\n<p><em>\u00ab<strong>This service first allowed us to automate this process<\/strong>, and then to become independent, customizing procedures as our business needs required. In our industry, those changes happen on a monthly basis.\u00bb<\/em><\/p>\n<h3>One Solution, Many Benefits<\/h3>\n<p>Although improving time-to-market was Sorgenia\u2019s primary goal, <strong>the solution provided by Intesa ushered in a host of other benefits<\/strong>: a notable reduction in paper and paper expense, which in turn lowered <strong>the company&#8217;s environmental impact significantly<\/strong>.<\/p>\n<p>Not only does digital contract management speed up the transfer times between headquarters and branch, <strong>it also allows documents to be accessed on the go<\/strong>, <strong>reducing manual errors<\/strong> and the chance of misplacing a document. Finally, the use of Advanced E-Signing and contract-retention protocols ensures <strong>an overall increase in corporate legal compliance<\/strong>.<\/p>\n<p>Alessandro Bertoli had these final thoughts: <em>\u00abThis digitalization process has been, for us, <strong>a starting point<\/strong> rather than a destination. L\u2019azienda si \u00e8 rivolta a Intesa (Gruppo IBM) cercando una soluzione che consentisse un\u2019accelerazione del time-to-market. <strong>Ecco come Sorgenia ha saputo trasformare i suoi processi<\/strong> facendo leva sul digitale.<\/p><p><img class=\"alignnone size-full wp-image-41034\" src=\"https:\/\/www.intesa.it\/wp-content\/uploads\/2020\/11\/Articolo_Sorgenia-1.png\" alt=\"\" width=\"1200\" height=\"420\"><\/p><h3>L\u2019obiettivo di Sorgenia<\/h3><p>Sorgenia ha innanzitutto individuato un\u2019importante area di ottimizzazione: la<strong> gestione dei contratti con le agenzie<\/strong> dislocate sul territorio, che si occupano principalmente di fornitura per i clienti business. L\u2019invio e lo scambio dei contratti tra queste agenzie e la sede centrale avveniva sempre su supporto cartaceo. Infine, l\u2019utilizzo di una FEA e dell\u2019archiviazione a norma dei contratti permette <strong>un incremento complessivo della compliance<\/strong> normativa dell\u2019azienda.<\/p><p><em>\u00abIl tema della digitalizzazione dei processi l\u2019abbiamo vissuto e lo stiamo vivendo non tanto come un punto di arrivo, ma come un <strong>punto di partenza<\/strong>.
